1. Responsible company and privacy contact
RegLane is a business brand operated by VermilionFlux Tech Limited, a Hong Kong company. That company is the data user responsible for the personal information it handles through this website and its initial business enquiries. We, us and our in this notice refer to that company.
Privacy contact: Privacy Contact, VermilionFlux Tech Limited. Email: melo@reglane.net. Postal contact: Unit 13, 7/F, Crown Industrial Building, 50 Hung To Road, Kwun Tong, Kowloon, Hong Kong.
2. Information you choose to provide
An email or Telegram enquiry may contain your name, business contact details, company or project information, role, target markets, requirements, messages and attachments. Providing information for an initial enquiry is voluntary. Without information needed to understand or respond to it, we may be unable to assess or progress the enquiry.
Share only what is needed. Do not send identity documents, bank records, payment credentials or player personal information in a first message. Supply information about others only when entitled to do so. Any later due-diligence documents require a separately agreed purpose, scope and transfer method.
3. Website visits and local features
There is no account, payment feature, document upload or enquiry-submission form. The preparation checklist runs in the current browser page; the site does not submit or persist its selections. A selected service may appear in the URL; the site does not add personal information to that URL.
Copy buttons write displayed information to your clipboard only when selected. Email links open your email app; the optional draft adds a short template and selected role, stage and service for you to edit and send. Telegram links open that service. None of these actions automatically sends an enquiry.
When pages are delivered over the internet, hosting and network services may process IP addresses, requested paths, request times, browser information and security events. A static website does not mean that no technical information is processed.
4. Purposes of use
We use information as necessary to answer enquiries, understand proposed projects, assess whether and how we can assist, prepare proposals, coordinate agreed follow-up, maintain relevant business records, protect communications and address applicable legal obligations or disputes. A subsequent engagement may require more specific information and notices.
An enquiry does not subscribe you to marketing or provide blanket consent to unrelated uses. For a proposed new use or direct marketing, we will provide the necessary information and obtain consent where required. We do not sell enquiry information.
5. Providers and other recipients
Cloudflare Pages is the selected host for the planned public website. When deployment is active, Cloudflare provides hosting, network delivery and associated security services. Our business email uses Google Workspace; Telegram is an optional communication channel. Providers may process information to operate their services, and their applicable terms and privacy information describe their own processing.
Information may be accessed by persons authorised to handle the enquiry and relevant technology providers. Before sharing identifiable project information with legal, tax, accounting or other specialists, we confirm the purpose and sharing arrangements, unless a lawful disclosure obligation applies. Disclosures required by law or necessary for lawful claims are limited to an appropriate scope.
6. Processing outside Hong Kong
Providers may process or store information outside Hong Kong, depending on the service and actual configuration. We do not promise that all data stays in Hong Kong. Relevant provider arrangements and applicable safeguards must be considered before services are used for personal information. A project may require additional arrangements before documents are transferred.
7. Retention and deletion
For initial enquiries that do not lead to an engagement, we review records no later than 12 months after the last substantive communication and delete or anonymise information no longer needed. This does not require keeping every item for a full 12 months; information should be removed earlier when appropriate.
Engagement records, invoices, legal obligations and actual or reasonably anticipated disputes may require different retention periods. Reasons for continued retention should be recorded and reviewed. Technical logs and provider backups may follow different service settings, security needs and deletion cycles; immediate deletion from every backup is not promised.
8. AI-assisted work
Our AI workflow uses only summaries with client-identifying information removed. Original client emails, chats and attachments are not submitted to AI tools under this workflow. Names, contact details, identifiers and project details that could identify a client or individual in combination must be removed or generalised; removing a name alone is not sufficient.
If a summary could still reasonably identify a client or person, it must not be submitted under this workflow. AI output is reviewed before use and does not replace regulatory decisions or required professional judgement or signatures. This does not imply identical storage or training practices across AI providers; tools and settings still require review.
9. Cookies and site resources
Our site code does not set cookies or use analytics, advertising trackers, external fonts, embedded media, localStorage or sessionStorage. Scripts, styles and icons are served by the site itself. Hosting or security features may process technical information or use necessary cookies depending on what is enabled. Additional analytics or non-essential tracking requires assessment and updated information before use.
10. Security and sensitive documents
Our handling rules limit access and sharing to the relevant purpose and call for reasonable safeguards appropriate to the information and risk. No online system is completely secure. Email or Telegram is not automatically an approved channel for sensitive due-diligence files; a suitable transfer arrangement must first be agreed.
If you suspect information has been misdirected or exposed, contact melo@reglane.net with a short description, without resending sensitive files. We will assess the issue and take applicable protective or notification steps.
11. Requests and concerns
You may request access to or correction of personal data we hold about you, subject to applicable law. You may also ask us to stop unnecessary follow-up or consider deleting information no longer needed. Deletion is not unconditional where legal obligations, an engagement or a dispute require retention.
Use the privacy contact email or postal address in section 1. We may seek proportionate information to verify identity and locate records, and will handle requests within applicable requirements. Do not attach identity documents unless we have agreed what is necessary and how to provide them. You may also raise concerns with the Hong Kong Office of the Privacy Commissioner for Personal Data or another competent authority, where applicable.
12. Scope and changes
The website is for business enquiries, not for players or children. Contact us if you believe we have received a child's personal information or unnecessary information about another person, so we can assess appropriate action.
We may update this notice as the website, providers or handling arrangements change. The version date identifies revisions; additional notice or consent will be sought where required. A revised notice does not itself authorise a new use of previously collected information.
